At SmoothBooks, we assign a designated professional bookkeeper to manage your daily financial tasks, acting as your in-house billing department. You will be able to communicate with him/her every day through whatever way you would like (WhatsApp, Zoom, email, phone etc.). 
Payments are due on the first of each month for the upcoming month. If you sign up mid- month, your first payment will be prorated for the remainder of the month and is due at the time of sign-up. Subsequent payments will then be due on the first of each month. If a client discontinues service mid-month, they will receive a prorated refund for the unused portion of the month. Should payment not be received by the 15th of the month, services will be paused until payment is made. This approach ensures seamless financial management and service delivery.
If you already have a QuickBooks account, you'll simply grant us access. If not, we'll create one for you.

You can continue using your current billing email (e.g., billing@blossoms.com). If you prefer to keep control of that mailbox without sharing access, we can set up a specialized email address (e.g., blossomsbilling@smoothbooks.com). All billing-related emails can be automatically forwarded to this new address, ensuring you maintain oversight. Alternatively, you can choose to have all billing inquiries sent directly to the email address we provide. This approach allows for seamless communication while keeping your existing setup intact.

Absolutely. We specialize in organizing and correcting disorganized financial records. If you require a one-time cleanup, we will provide a specific quote for that service. However, if you intend to engage with us on a monthly basis, we offer this initial cleanup at no additional cost, provided you remain with us for a specified period, which will be discussed at the time of signup. This initial cleanup covers records starting from January of the current year. Unlike many bookkeeping firms that charge hefty sums for cleanup and setup services, we aim to build long-term relationships by easing the financial burden of getting started with us.
We do not currently file tax returns directly but plan to offer this service in the future. In the meantime, if a client requires tax filing services, we can facilitate this through our affiliated third-party providers or collaborate with the client's own tax filer. We work closely with whichever tax professional is filing on behalf of the client to answer any questions and resolve issues, ensuring that the process is seamless. Our meticulous bookkeeping ensures that financial records are clean and well-organized, which simplifies the tax filing process and helps prevent the additional costs typically associated with organizing disorganized records. This proactive collaboration facilitates a smoother tax season and ensures a stress-free experience for our clients.
No, there is no binding contract at SmoothBooks. You can cancel your service at any time, and you will receive a refund for any days not serviced. We strive to offer flexible and accommodating bookkeeping services to ensure your satisfaction without the need for long- term commitments
We prioritize the security and confidentiality of your financial information by employing stringent data protection measures, including the use of Bitwarden for secure password management and data encryption. Additionally, we grant only limited permissions to our bookkeepers, ensuring they access only the information necessary to perform their tasks. These protocols are designed to safeguard your data from unauthorized access and ensure compliance with privacy regulations, giving you peace of mind about the security of your sensitive information.

SmoothBooks does not cover QuickBooks subscription fees. Even if we set up the account, the client must pay for it separately. QuickBooks typically charges about $25/month for a standard account.

SmoothBooks accepts payments via credit card or ACH—whichever you prefer. All payments are made directly to SmoothBooks, not to individual bookkeepers.

Yes, SmoothBooks offers a referral program. For every customer who signs up using your referral, and stays with us for a month, you will receive $100.
